The problem most owners describe
Business owners come to us saying quoting takes too long. Sometimes it is hours per quote. In one case it was forty.
A custom woodworking shop in Pennsylvania. Two brothers. One builds, one quotes. Every estimate built by hand from scratch: drawings, materials, finish options, pricing. Some ran thirty pages.
About half closed. The other half were forty unpaid hours walking out the door, every time.
Why speeding up the quote does not fix it
The owner asked us to make quoting faster. We did not.
Forty minutes into the discovery call, the actual problem surfaced. He was not quoting too slowly. He was quoting the wrong people.
There was no pre-qualification step. No budget conversation. Nothing between a client calling and a full week spent designing their kitchen.
A faster quoting tool would have meant producing unpaid work more efficiently. The bottleneck was not the quote. It was everything that happened before it.
What we built instead
A lead pre-qualification tool. Five questions, one score. Either the lead proceeds to a full design quote, or it does not.
Forty-seven minutes from the start of the call to a working system.
His forty hours per quote are now spent only on clients who can afford the work. Same hours, different people.
How to tell which problem you have
Three questions worth answering honestly.
What is your quote-to-close rate? If more than half your quotes do not close, the issue is upstream of the quote. Contractors who follow up consistently close closer to 30 to 35 percent of quotes, while those who do not follow up at all land closer to 12 to 18 percent, according to contractor quote-to-close benchmarking. A business closing well below either range usually has a qualification problem, not a quoting-speed problem.
Do you ask about budget before you scope? If not, you are designing for people who may never have been able to afford you.
What would you do with the time? If the answer is write more quotes, speeding up will not help. If it is spend it on clients who buy, you need a filter.
Frequently asked questions
-
How long should a quote take?
It depends on job complexity, but the useful measure is not duration. It is unpaid hours per closed job. A four-hour quote that closes 80% of the time is cheaper than a one-hour quote that closes 20%. -
What is lead pre-qualification?
A structured step before detailed quoting that establishes budget, timeline, scope, and decision maker. It filters out leads that cannot convert before you invest time in them. -
Is turning away leads bad for business?
You are not turning them away. You are not producing a full design package for someone who told you their budget is half your minimum. The time goes to leads who can buy. -
Can quoting be automated?
Parts of it. Pricing logic, historical job data, and material costs can be built into a tool that produces a quote in minutes. But automating a quote for the wrong lead just produces the wrong quote faster.

The pattern underneath
The problem an owner walks in with is rarely the real problem. It is the loudest one. The real one usually sits one step upstream, and it is quieter because nothing about it is actively on fire.
If your team is working hard on the wrong thing, that is worth knowing before you invest in making them faster at it.
If the wrong thing has already turned into eleven spreadsheet tabs instead of a slow quote, Signs You Need Custom Software Instead of a Spreadsheet covers the same pattern from a different angle. Either way, finding it is what the 1K Challenge discovery call is built to do.
